Create and Manage Payment Methods

Overview

Payment Methods allow you to create and manage the different types of payments your practice accepts within QuickEMR. Maintaining a customized list of Payment Methods helps ensure that patient payments are accurately categorized and consistently recorded within the system.

Your practice can create Payment Methods based on the types of payments you commonly receive, such as Cash, Credit Card, Debit Card, Check, Money Order, or other payment options used by your organization.

Once created, these Payment Methods can be selected when recording a payment within a patient's case.

Where to Go

To access and manage your Payment Methods:

Billing → Lists → Payment Method

From this list, you can create and manage the Payment Method options available to users when entering patient payments within QuickEMR.


Creating a Payment Method

To create a new Payment Method:

  1. Navigate to Billing → Lists → Payment Method.

  2. Select the Create button to add a new entry.

  3. Enter the name of the Payment Method you would like to create.

  4. If you are utilizing Gravity payments, you can select Gravity under the Payment Provider and the corresponding option under Transaction Type.

  5. Click Save.

Once saved, the new Payment Method will become available as an option when users record payments within a patient's case.


Using Payment Methods

Payment Methods can be selected when entering a payment within the patient's Payment tab.

To record a payment and select the appropriate Payment Method:

  1. Open the appropriate patient and case.

  2. Navigate to the Payment tab.

  3. Click Add Payment.

  4. Locate the Payment Type drop-down menu.

  5. Select the appropriate Payment Method from the available options.

  6. Enter the remaining payment information as needed.

  7. Save the payment.

The selected Payment Method will then be associated with the payment entered into the patient's case.


Organizing Your Payment Methods

When creating Payment Methods, consider all of the different ways your practice accepts payments. Keeping the list clear and concise makes it easier for users to select the correct option and helps maintain consistency when payments are entered by different staff members.

Avoid creating multiple Payment Methods that represent the same type of transaction unless your practice has a specific need to differentiate between them. For example, if all credit card transactions are handled the same way, a single Credit Card option may be preferable to creating separate options for individual card brands.

Benefits of Using Payment Methods

Maintaining an accurate list of Payment Methods can help your practice keep patient payment information organized and provide a clearer record of how payments were received.

Customizing this list also allows QuickEMR to better reflect your practice's individual billing workflow. As the payment options accepted by your practice change, you can return to Billing → Lists → Payment Method to add or manage your available options as needed.
