Create and Manage Payment Types

What Are Payment Types?

Within QuickEMR, Payment Types allow your practice to categorize payments based on what the payment represents. Using Payment Types helps keep patient payment information organized and makes it easier for staff to identify the purpose of a payment when reviewing a patient's account.

For example, your practice may create Payment Types such as CoPay, Co-Insurance, Cash Payment, or any other payment categories commonly used by your practice.

QuickEMR allows you to customize this list so that the available Payment Types reflect your practice's specific billing and payment workflows.

Where to Go

Payment Types can be created and managed by navigating to:

Billing → Lists → Payment Types

From this screen, you can view the Payment Types that are currently available within your system, create new Payment Types, or make changes to existing options.


Creating a Payment Type

To add a new Payment Type:

  1. Navigate to Billing → Lists → Payment Types.
  2. Select the option to Create a new Payment Type.
  3. Enter a name that clearly identifies the type of payment, such as CoPay, Co-Insurance, or Cash Patient.
  4. Review the information and save your changes.

Once saved, the new Payment Type will be available for use when entering applicable patient payments.


Applying a Payment Type to a Patient Payment

Payment Types can be selected when entering payments within a patient's case.

To access patient payments, open the appropriate Patient Case and navigate to the Payment tab.

When entering a payment, select the appropriate Payment Type to identify what the payment represents. For example, if a patient is making their required copayment for a visit, you can select CoPay as the Payment Type.

Using the appropriate Payment Type provides additional information about each payment and helps staff understand why the payment was collected when reviewing the patient's payment history.


Managing Your Payment Types

Your practice can customize its Payment Type list based on the types of payments you regularly collect. Creating clear and consistent Payment Types can help keep patient accounts organized and make payment information easier for your front office and billing staff to review.

If your practice's needs change, return to Billing → Lists → Payment Types to manage your available options.
