To begin, you will first need to gain consent from the patient to receive marketing sms messages or phone calls. Once that is obtained, you can select the patient to receive those messages.
To send marketing text messages or phone calls through QuickEMR, you’ll first need to create a Message Template that contains the content you wish to send to patients. These templates can be customized for various purposes, such as practice updates, birthday greetings, holiday promotions, or other marketing communications you’d like to share.
1. Navigate to Schedule --> Reminder Calls --> Message Templates.
2. Press the Create button.
1. This is our message template page. The name of the message template is what will display when you are choosing what kind of message you are sending.
For marketing example, this will typically say “Birthday Message” or “Clinic Updates”.
2. Under the Purpose drop down list, select Marketing. This will designate this template for Marketing and seperate it from your other Appointment Notice templates, allowing you to utilize it within the Marketing Calls window.
3. Next look at the Translation Type. Each Message Template can include multiple translation types, allowing you to choose between Text and Voice formats. You can create both a text message and a voice message within the same template. For example, if you use this template for a birthday message, patients will receive the communication based on their preferred contact method—text, phone call, or both—as specified in their case settings.
4. Select the preferred language for this translation.
*The language field on the message template will only map this translation to the preferred language that is listed on a patient's case.
**This will NOT translate any text from English to another language, users will need to type the translated text into the message box.
5. Click the Pick List icon located at the top right of the text area to open the list of available Message Substitutions. Substitutions automatically insert patient-specific details into your message based on the recipient’s record.
For example, adding the substitution tag <PATIENT_FIRST> will dynamically insert the patient’s first name when the message is sent.
6. Once finished, press Insert, followed by the Save button.
How to Send Marketing Calls & Texts
To send out Marketing calls and texts, you will first need to Navigate to Connect --> SMS Marketing.
1. Select the Referral Date range, or select the All Dates checkbox to find all patients.
2. Select the appropriate Facility, Patient Type, and any other search parameter that you would like.
3. If this is a birthday message, select the appropriate Birth Month.
4. Pres Get Contacts.
Once the report generates all of the patients within your specified search parameters, you will need to select the Message Type (The template that you previously created), Send Date, and Send Time. Then, once the message is ready to send, press Send Reminders. You will see a System message stating that the messages have successfully been sent and the Campaign has been created.
The status of your marketing calls and texts can be views under Schedule --> Reminder Calls --> Reminder Call Log.
1. Select the log that you would like to open.
2. Check the box for More Details to view the status details as well as the Message text that was sent.
