In QuickEMR signatures are applied as soon as a note is marked complete. So only the signing provider may mark a note complete. There are two scenarios to keep track of.
Cosigner
If the note has a cosigner, only the cosigner may mark it complete as the rendering provider may not be credentialed to sign a note. This is common for a regular visit where a PTA or OTA are performing the regular exercises. When they are finished with the note they may mark it as "Ready for Review."
The cosigner can be notified manually through the in application chat or in person depending on your practices needs. QuickEMR also provides a "Needs Review" report that a provider can manually run to see all the notes in the needs review state.
To view the Needs Review Report:
1. Navigate to Reports --> Documentation --> Needs Review.
2. Enter the search parameters, such as Provider and Date Range.
3, Press Get Results.
To assign a Cosigner to a user:
1. Navigate to Lists --> Users and select the user.
2. Select the Settings tab.
3. Add the Cosigner using the drop down list of current users.
Provider Only
If the note does not have a cosigner it can be completed and signed directly by the rendering physician.
Additional Requirements
The user account must have the "singing provider" flag set within their User Settings.
The user must have permission to view and update a note.
Some practices may need to designate a user that can clear a users signature so a note may be re-opened for edit. This may be done by granting that limited set of users the "Note Lock Override" permission.
Validation
Upon attempting to complete & sign a note or mark a note as needs review the system runs several automated checks to insure all charges are in compliance and required fields are populated. If an error is found in validation the system will prevent the note from being signed and display any issues in a growl notification. This will catch items such as missing insurance, missing diagnosis, or errant modifier codes. Learn more about note validation on the note validation help page.
